1. Service description. PingPaid is a web-based communication tool that uses AI to generate professional payment chasing emails based on details you provide. It is not a legal service, debt recovery service, or financial advice service. PingPaid is a trading name of Aidan Goy, Office 18376, 182-184 High Street North, East Ham, London, E6 2JA.
2. Eligibility. You must be at least 18 years old to use PingPaid. By using the service, you confirm that you meet this requirement.
3. Acceptable use. You may only use PingPaid for legitimate payment chasing relating to genuine invoices for work you have completed. You must not use the service to harass, threaten, or send misleading communications to any person, or to generate emails for debts that do not exist. We reserve the right to refuse service if we believe it is being misused.
4. No legal or financial advice. Nothing produced by PingPaid constitutes legal, financial, or debt recovery advice. No professional-client relationship is created. PingPaid is not authorised or regulated by the Solicitors Regulation Authority, Financial Conduct Authority, or any other professional body.
5. User responsibility. You are solely responsible for: (a) the accuracy of information you provide; (b) reviewing, editing, and personalising all generated emails before sending; (c) ensuring your communications are appropriate to your situation; (d) seeking professional advice where appropriate.
6. Payments and refunds. Payments are processed securely via Stripe. All prices are in GBP and include VAT where applicable. Due to the digital nature of the service, refunds are available within 14 days of purchase if you have not yet used any generations. Once a generation has been used, no refund is available for that generation. For multi-use purchases, unused generations remain refundable within 14 days. Refunds will not be issued for generated content lost due to closing your browser before downloading or saving, or for lost usage codes. It is your responsibility to download your emails and save your code before leaving the page. This does not affect your statutory rights under the Consumer Rights Act 2015.
7. Usage codes. Multi-use purchases are delivered as a unique code. Each code has a set number of uses. Codes are non-transferable. You are responsible for keeping your code secure. Codes do not expire.
8. Promotional codes. Promotional codes are single-use, non-transferable, and may be withdrawn at any time.
9. AI-generated content. Email templates are generated using artificial intelligence and personalised to the details you provide. AI output may occasionally contain errors or unsuitable suggestions. You must review all generated text for accuracy and appropriateness before use.
10. Limitation of liability. To the fullest extent permitted by law, PingPaid and its operators shall not be liable for any direct, indirect, incidental, special, consequential, or exemplary damages arising from use of this tool, including any consequences of emails you choose to send.
11. Governing law. These terms are governed by the laws of England and Wales.
What we collect and why. When you use PingPaid, the invoice details you enter (names, business names, invoice number, amount, due date, work description) are processed to generate your email templates. The legal basis for this processing is contract performance — we need your details to deliver the service you've paid for. Invoice details are sent to our AI provider for generation and are not permanently stored by PingPaid after your emails have been generated.
AI processing. Your invoice details are processed by OpenAI's API to generate email content. OpenAI's data usage policy is available at openai.com/policies. As a business API user, your data is not used to train OpenAI's models.
International data transfers. Your invoice details are transferred to OpenAI's servers in the United States for processing. This transfer is necessary to provide the service and is protected by OpenAI's Data Processing Agreement which includes appropriate safeguards under UK GDPR.
Payment data. Payments are processed by Stripe. We do not see or store your full card number. Stripe's privacy policy applies to payment data.
Usage codes. When you purchase a multi-use plan, we store your usage code and remaining generation count. This data is not linked to personal information beyond what Stripe collects for payment. Codes are stored indefinitely until all uses are exhausted.
Data retention. Invoice details are processed in memory and discarded after generation. Payment session references are retained for 30 days to prevent duplicate processing. IP addresses are temporarily stored for up to 24 hours for rate limiting of the free preview feature, then automatically deleted. Usage codes and their remaining counts are stored until fully used.
Cookies. PingPaid uses essential cookies only for basic functionality. Stripe and Cloudflare may set additional cookies necessary for payment processing and security. We do not use advertising or tracking cookies.
Your rights. Under UK GDPR, you have the right to access, rectify, or delete any personal data we hold. Because we retain minimal personal data, in most cases there will be nothing to provide or delete. Contact: [email protected]
